In our many years of working in this specialised area of architecture, we have learned that there is no single solution that can simply be imposed on every meeting room or conference room. A lighting concept is only ever truly coherent if all the components fit together, which is why there are many different solutions for different tasks. Classic meeting rooms, conference rooms or conference rooms often also have a representative function, as this is where intensive dialogue with customers and business partners takes place. Therefore, the focus should not be solely on functionality, but also on high-quality design details and surface finishes. Well-selected decorative luminaires make a strong statement to emphasise the corporate architecture and corporate culture and are an important complement to the selected furnishings. The design of the room in harmony with the lighting gives visitors a first impression that appeals to them on an emotional level.

Good, harmonious basic lighting that is as glare-free as possible is particularly important in meeting rooms and conference rooms where long meetings or training sessions regularly take place. This can be achieved through the targeted use of additional functional luminaires. If less emphasis is placed on representative lighting tasks and instead a greater focus is placed on the technical-functional level, then the lighting design must be focussed on technically oriented luminaires. It is important here that only the luminaire itself recedes and disappears into the suspended ceiling as a recessed luminaire, for example, or that backlighting is used, but that the quality of light is not compromised.

It is extremely important to create a lighting mood that takes the following aspects into account and incorporates them into the lighting design. On the one hand, there must be sufficient brightness and uniformity of light in the room, but at the same time it is the interplay of light and shadow or accentuated surfaces such as columns as an architectural element that creates an atmospheric overall picture. To create a subconscious sense of well-being in the room, it is essential to brighten up the walls. One of our absolute specialities is the customised adaptation of the shape and size of our lights to different conference tables and table shapes. Using the CAD data of the conference system, our design department adapts the luminaire precisely to the shape.

Acoustically effective lights in the meeting room

If you think and plan across disciplines, luminaires can also make an important contribution to improving room acoustics in addition to their lighting function. Reducing the reverberation time is particularly important here, as this contributes significantly to clear and easy communication without excessive effort and therefore increases the well-being of everyone in the room.

It is therefore advisable to use luminaires with integrated sound absorption in rooms with many sound-reflecting surfaces, such as concrete and glass. There are a variety of suitable absorber materials such as PET fibres, rock wool, tightly woven textiles, felt panels and perforated surfaces. The quality of the absorber is divided into different absorber classes and the sound absorption coefficient α provides information about the classification on a scale from 0 to 1, where 1 means complete absorption of the incident sound waves and 0 means complete reflection.

In the meeting room and conference room, the selection of the correct absorber material is of crucial importance, as the speech should reach the receiver's ear as it comes from the mouth or loudspeaker of the sender, so this requires the same amount of absorption at all relevant pitches. For this purpose, there are specifications for each absorber that go beyond the general α-value for absorption and thus reduction of the reverberation time for different pitches, i.e.

High tables deserve their own category in our analysis, as they should be considered separately in lighting design. They often occupy an interface position between formal meetings on the one hand and informal get-togethers of colleagues and teams during relaxation phases on the other. It is therefore advisable to plan these tables in a more decorative way and by using warmer light with approx. 3000K.

Every meeting or conference table has a unique shape that requires a customised lighting solution. Our luminaires are specially adapted to the geometry of the table to ensure uniform, glare-free lighting for all seats. Flexible zones and room-in-room concepts are essential, especially in workshop areas and co-working areas, as this allows areas to be used multiple times and individually. For such zones, it is advisable to plan the lighting over as large an area as possible and, in the case of decorative luminaires, very generously so that the lighting concept works both with open curtains and partition walls and with separate zones.

Illuminated ceilings provide even, glare-free lighting in meeting rooms and conference rooms, which promotes concentration and productivity. At SATTLER, we prefabricate luminous ceilings in our own factory and then, in coordination with the drywall construction team, install them in a variety of shapes such as round, rectangular or oval in the ceiling at the respective location or suspend them from the ceiling. A special feature is the optional fitting with sound-absorbing membranes and fine-pored surface structure, which significantly improve the room acoustics. They also comply with fire protection class B1 and are designed to be easy to maintain. These technical properties give luminous ceilings a great deal of creative freedom and at the same time a wide range of options such as tunable white, dimmability and flicker-free final design.

In order to create holistically harmonious lighting concepts for the meeting room, luminaires can be made a living part of the interior design by adapting the surface to the colour scheme and materials used in the project or by consistently setting them apart and seeking contrast. There are many options for customising the surface and even covering it with wood veneers or leather.
